One can have no malice or negativity towards someone, but neglect to do these extra things and be perceived by someone else as cold and mean. There is too much focus on appearance (with all its opportunities for projection), and not enough on process. A process can appear many different ways, even if it's the same thing. If you're uncomfortable, you can ask for assistance better understanding the process going on. But you have no place forcing things to be done differently in general just so you won't be uncomfortable.
